University Physicians Healthcare (UPH) is Arizona’s largest physician group with over 350 physicians, and 1,500 staff at multiple clinical locations in Southern Arizona. A leader in the healthcare community, UPH sponsors the Southern Arizona HIE (health information exchange) and its innovative use of technology to improve quality of care.

Challenge
UPH needed to share information across inpatient and outpatient registration and billing systems to improve the patient experience and resource utilization.

Solution
A new patient registry solution is enabling information sharing and real-time search at the point of registration to reduce duplicate record creation and improve the customer experience.

In keeping with its mission to provide the best possible care and patient experience, UPH outlined three interoperability goals:

  • Recognize the patient across all care providers and facilities to improve the patient experience
  • Provide real-time patient search during registration to reduce creation of duplicate medical record numbers and charts and better utilize registration resources
  • Lay the foundation for information sharing across UPH and with the Southern Arizona HIE to improve workflow and quality of care

UPH now enjoys information sharing and point-of-service search across the two billing and registration systems to solve patient identity challenges. The solution links disparate system identifiers together to create a composite patient record that is accessible to registration systems in real time at the point of interaction.

UPH is currently handling approximately 1.5 million patient records with Initiate software, gaining efficiencies while improving customer service. Specifically, UPH has experienced:

  • A more robust search is conducted upfront during registration to access the right patient quickly, which improves resource utilization
  • Information is verified as opposed to re-captured, which improves the patient experience
  • Duplicate patient records have dropped drastically, which reduces administrative time for data capture and management of duplicate records
  • Data resolution capabilities are improved with advanced data stewardship and analytics tools, which results in more effective use of administrative time and resources
